Documents

Document upload is the latest feature within OurSchoolsApp. You now have the ability to host documents in one place, to share with parents.  This includes things like:

  • Newsletters
  • School Policies
  • Meeting Minutes
  • OFSTED Reports
  • Hi-resolution images

You may upload any of the following the file types:

  • .pdf
  • .doc
  • .docx
  • .png
  • .jpg

Uploading a new document to the documents section will not send out a push alert to parent users' devices.

If you do wish to send an important document that you need to alert parent users to please you can try the two following methods -


To get started simply select the "Documents" tab in the upper left portion of the screen.


Note:

We recommend that you only share information that you would normally put on your website. Information shared via OurSchoolsApp is considered as sharing via a public domain.

If you wish to share something like a survey or permission slip that requires a signature or input, we highly recommend that you consider requirements for returning a completed document. If a document requires a signed hard copy please consider receiving parties access to printing facilities.

We do have some schools that use this feature to provide parents/carers with an electronic back-up copy as well as sending out a hard copy; the paper version sometimes may get lost or damaged.

Please take into consideration any potential GDPR data breaches that could result from sharing documents. It is recommended you do not share files which may include what is considered personal information. If in doubt please consult with your organisations appointed Data Protection Officer.

Step-by-Step Guide


Add a New Document

1. Click "Add"

Click the "Add" button in the central action panel


2. Name your Document

In the "Label" field, type your document title


3. Click "Upload File" button

Once you have entered your title, click "Upload File" to bring up your system's file selection window.


4. Click on "Open" button

Choose 'Navigate to the desired file location' and select it (fig. 1). Click the "Open" button to the bottom right of the file selection window (fig. 2).


5. Click "Add" button

Click the "Add" button. You will see a short success message, and the document will now be available for parents to view.


6. Select the file

Select the file you wish to remove, by clicking it in the file list. (as shown below)

Remove a Document

 

1. Select the file

Select the file you wish to remove by clicking it in the file list (as shown below).


2. Click "Delete

Click the "Delete" button from the central action panel.


3. Confirm Delete

To confirm that you wish to remove the item, click the "Delete" button. You will see a short message to confirm the successful removal, and parents will no longer have access to the item in question.
